How to Use WhatsApp to Recruit Candidates: A Step-by-Step Guide

Seven steps to recruit on WhatsApp, from the right account and consent to message templates, screening and scheduling.

Quick answer

To recruit candidates on WhatsApp, use the WhatsApp Business Platform rather than personal numbers, get candidates' opt-in, and use approved message templates for first contact. Then ask a few short screening questions, book interviews and send reminders in the same thread. Keep messages short and in the candidate's language, and log every conversation in your ATS.

Key takeaways
  • Use the WhatsApp Business Platform (API) for recruiting at volume; personal numbers get blocked and leave no record.
  • Get opt-in and give notice: Meta's policies and India's DPDP Act both expect it.
  • First contact uses an approved template; free-form replies are allowed within 24 hours of the candidate's last message.
  • Every message, answer and booking should land on the candidate's record.

Why recruit on WhatsApp?

Most Indian candidates, especially for BPO, retail, field and entry-level roles, read WhatsApp far sooner than email or calls from unknown numbers. That makes it the fastest channel to confirm interest, ask screening questions and keep people updated. For the wider strategy, including no-shows, see WhatsApp recruitment.

How do you set up WhatsApp recruiting, step by step?

  1. Get a Business Platform number through Meta or a provider, with your company name verified.
  2. Collect opt-in. Ask candidates to agree to WhatsApp messages on your application form or job post, and tell them what you will send.
  3. Write and approve templates for first contact, interview confirmations, reminders and outcomes.
  4. Build a short screening flow: five to eight questions such as notice period, expected CTC, location and shift, with buttons where possible.
  5. Book interviews in the thread: offer slots, confirm, remind the day before and on the day.
  6. Hand over to a recruiter when a candidate asks, or when answers need judgement.
  7. Log everything in your ATS so recruiters see the full conversation.

What should your WhatsApp messages say?

MessageExample
First contact (template)Hi {name}, thanks for applying for {role} in {city} with {company}. Can we ask 6 quick questions here? Reply YES to start.
Screening questionWhat is your notice period? 1) Immediate 2) 15 days 3) 30 days 4) 60+ days
Interview bookingYou're shortlisted for {role}. Pick a slot: 1) Tue 11 am 2) Tue 4 pm 3) Wed 11 am

OutcomeThank you for your time, {name}. We won't be taking your application for {role} further. We'll keep your profile for similar roles unless you reply STOP.

What rules do you need to follow?

  • Templates to start conversations. Business-initiated messages need pre-approved templates; free-form replies are allowed within 24 hours of the candidate's last message (see WhatsApp Business Messaging Policy).
  • Opt-in and opt-out. Message only candidates who agreed, and honour STOP immediately. Spam reports can get a number restricted.
  • Data protection. Under India's Digital Personal Data Protection Act, 2023, give notice of what you collect and why, and keep it only as long as needed.
  • Respectful timing. Avoid late-night messages; candidates often share phones.

What should you measure?

  • Reply rate to the first message, by source and role.
  • Screening completion: candidates who answer every question.
  • Interview show rate for WhatsApp-booked interviews compared with phone or email.
  • Opt-out rate, which rises if you message too often.

In Indeed's Ghosting Guide, 40% of candidates who ghosted an employer had another offer; replying quickly on the channel they read is one of the simplest ways to stay ahead. For automated flows, see how to build a WhatsApp recruitment chatbot.

Frequently asked questions

Is it legal to recruit candidates on WhatsApp in India?

Yes, with consent. Get opt-in, give notice of how you use their data under the DPDP Act, 2023, follow WhatsApp's Business Messaging Policy and honour opt-outs.

Can I message candidates who haven't opted in?

Avoid it. Business-initiated messages need opt-in and approved templates, and unwanted messages lead to spam reports and restrictions.

How many screening questions should a WhatsApp flow have?

Five to eight short questions, with buttons or numbered options where possible. Longer flows lose candidates.
